Aside from helping save the environment, i.e., substantially reducing the need to pulp trees to paper, there are many benefits to a paperless office: boost efficiency, save time, money and workspace, allow for easier sharing of data and documentation, keep personal information more secure, among others.
Given today’s fast-paced world and the need for speedy responses to information requests, a paperless office, more than ever, has become the ideal environment for most, if not all, business settings.
New employee management vs. the paperless office
Take the case of new employee management as an example. Aside from a sequence of tasks HR needs to carry out even before a new hire’s first day at work, the moment he steps into his new role, the HR department starts another series of activities that can only end when the employee bids the company goodbye.
Truly, HR work is never-ending work. And having to track everything on paper may require a lot of employee manned hours, not to mention the possibility of human errors in reports generation, which can be critical.
On-boarding a new employee generally involves the following steps:
- create new employee forms
- send set of documents for the new hire to examine and/or complete
- wait for the new hire’s response to documents
- clarify information, if needed
- forward received documents to department supervisor
- create workspace for the new employee
Much as these steps are the same steps that have to be undertaken for each new hire, creating an automated workflow for the above sequence saves you a great deal of time and energy, time and energy that you can utilize to perform more valuable tasks such as looking for competent candidates, conducting employee workshops, making employee assessments, and other activities that help build a stronger workforce.
New employee management vs. the cloud
With the advent of cloud-based services, new hire management has become a lot easier, not to mention, more cost-effective. Aside from not having to purchase costly infrastructure that may include a dedicated server for on-premise software management, using a cloud-based solution gives you the flexibility of a work environment that’s on the go and always at your fingertips – meaning, you are allowed access to your HR platform as long as you’re connected to the Internet, mobile or otherwise.
Full mailbox vs. comment threads
If you take time to observe more closely, comments in threads are more concise and to the point versus responses received via e-mail. The right employee management software is dynamic and gives you the chance to start discussions with other department heads if the need calls for it, especially if decision-making regarding new hire on-boarding requires the help of other people in the enterprise.
Final word
While it may be difficult to turn your back from a process that may have been laborious but somehow got the job done, in today’s constantly changing business landscape, forward thinking can set you apart from the rest of the pack, not just in your new hire management process but other processes as well.
And if you’re ready to check out application solutions (there are a whole laundry list of them), it might interest you to note that Comindware is offering a free 30-day trial that you can deploy in your own unique environment – no contracts, nothing that would make you feel bound even after the end of the trial period.

That’s true, its time to make a paperless world, at-least a paper less work place. We have started moving over to cloud based tools and stopped using paper for tracking and reporting.
Earlier we used to track all our activities and time in paper, but then the complete process became a mess and then we started using excel based tracking. Now its all advanced and we have moved over to Replicon(http://www.replicon.com).
Make a paperless world and save the world…
